The basics
What are WhatsApp Flows?
Most people have never heard the name, but they’ve seen the idea: a neat form that slides up inside a chat. Here’s the short version.
- WhatsApp Flows
- WhatsApp Flows are interactive forms that open inside a WhatsApp chat. A customer taps a button, fills in one or more screens with text fields, dropdowns, date pickers or file uploads, and submits, without leaving WhatsApp. Businesses use Flows for bookings, lead capture, sign-ups and applications.
WhatsApp Flow vs website form
| WhatsApp Flow | Website form | |
|---|---|---|
| Where it opens | Inside the WhatsApp chat | In a browser, outside the chat |
| What the customer does | Taps a button and fills in the form in the chat | Leaves the chat, waits for a page to load, then fills in the form |
| After they submit | You can confirm, remind and follow up in the same chat | The conversation usually ends there |
| What you receive | The form entry, linked to the customer’s WhatsApp conversation | The form entry |
Building blocks
What you can put in a WhatsApp Flow.
A Flow can have several screens, and each screen can hold up to 50 elements. These are the ones businesses use most.
Limits as documented by Meta for WhatsApp Flows.
How it reaches customers
Three ways customers open a WhatsApp Flow.
From a template message
Send an approved message with a Flow button to opted-in customers at any time, for example a booking invite or a registration drive.
Inside a conversation
When a customer messages you, reply with a Flow so they can share details in one go instead of answering ten questions one by one.
After an ad click
When someone messages you from a Click-to-WhatsApp ad, send a Flow straight away to capture their details while interest is high.
Two kinds of Flows
Standard Flows collect answers. Live Flows check them as customers go.
Fixed questions, answers saved on submit
The screens and options are set in advance. Ideal when you know exactly what to ask.
- Event and webinar registrations
- Lead and enquiry forms
- Feedback and surveys
- Return and complaint requests
Connected to your systems while customers fill it in
The Flow exchanges data with your system in real time, so what customers see is always current.
- Show only the slots that are still free
- Check eligibility or stock before they submit
- Show prices or quotes based on their answers
- Data exchanged with your systems is encrypted, as Meta requires
Our team sets up the connection to your systems for live Flows.

We design and build your Flow
Our team designs the screens, writes clear questions and gets the message template approved by Meta.
We connect the answers
Responses go where you need them: contact profiles, Google Sheets or CSV, your own system via webhook or API, or straight into a follow-up journey.
Launch and improve
Send your Flow through campaigns, chats or ads, then see how many people open and submit it, and where they stop.

Why it works
Fewer steps, more completed bookings.
When the form is already inside the chat, customers don’t have to switch apps or wait for a page to load. Meta shares this result from a pharmacy chain that moved appointment booking into WhatsApp Flows.

Talk to our teamWhat are WhatsApp Flows?
WhatsApp Flows are interactive forms that open inside a WhatsApp chat. Customers tap a button, fill in one or more screens and submit without leaving WhatsApp. Businesses use them for bookings, lead capture, sign-ups and applications.
Is a WhatsApp Flow the same as a chatbot?
No. A chatbot exchanges messages one at a time. A Flow shows a structured form with several fields on each screen. They work well together: a chatbot or AI agent can send a Flow when it needs a set of details.
Do customers need to install anything?
No. Flows open inside WhatsApp itself, on Android and iPhone, and Meta added support for WhatsApp Web in December 2025.
How much do WhatsApp Flows cost?
Meta doesn’t charge a separate fee for Flows. Normal WhatsApp message pricing applies: template messages are charged by category and country, and replies inside an open 24-hour customer service window are free. On SAMWAD, Flows are available from the Advanced plan.
What information can a Flow collect?
Text, numbers, email addresses, phone numbers, dates, single and multiple choices, consent checkboxes, and photos or documents (up to 10 files, 100MB in total).
Where do Flow responses go?
With SAMWAD, responses can be saved to the customer’s contact profile, exported to Google Sheets or CSV, sent to your own system through a webhook or API, or used to start a follow-up journey.
Can a Flow show live information, like free time slots?
Yes. A live Flow exchanges data with your system while the customer fills it in, so it can show available slots, check eligibility or display prices. Live Flows are available on Premium and Enterprise.
Do I need a developer to build a Flow?
No. The SAMWAD team designs, builds and connects your Flows for you, including getting the message template approved.
Can I send a Flow to anyone?
To start a conversation, you send the Flow inside an approved template message to customers who have opted in. If a customer messages you first, you can reply with a Flow during the 24-hour customer service window.
